The Associate Director of Special Events is a key member of the Development Team at Old St. Patrick’s Church, responsible for supporting the planning, coordination, and execution of major fundraising and stewardship events. This position works in close collaboration with the Director of Special Events, internal staff, volunteer committees, and external partners to ensure the successful implementation of events including Deck the Hall, Siamsa na nGael, Shamrock’n, Emerald Ball, Broadway on Adams, New Member and Stewardship events, and the Marathon Cheer Station.
The role requires strong organizational and computer skills, attention to detail, and the ability to manage multiple projects simultaneously. The Associate Director of Special Events must demonstrate professionalism, discretion, and excellent communication in working with volunteers, donors, and vendors.
A team-oriented mindset and flexibility to work evenings and weekends are essential to the role.
Duties and Responsibilities include:
- Assist with coordination and management of Deck the Hall, Siamsa na nGael, Shamrock’n, and Broadway on Adams, Emerald Ball, Marathon Cheer Station and New Member Events and additional events and activities.
- Assume project management responsibilities for specific components of each event as determined in collaboration with the Director.
- Assist with marketing strategy for each event, including social media, advertising, email campaigns collateral, etc.
- Assist with cultivation and solicitation of corporate and individual sponsors and donors.
- Assist with identification of potential vendors and contract negotiation.
- Manage revenue enhancers, auction or other fundraising elements.
- Provide quality relationship management with donors, vendors and event guests.
Support Member Stewardship Events:
- Coordination of event logistics.
- Coordination of recognition and/or experience items.
- Day of event support Volunteer Management.
- Record minutes from committee meetings as needed, and communicate regularly with committee members.
- Serve as a liaison to various committee chairs and assist with communication among committees.
- Communicate and manage volunteers for OSP events Administration.
- Coordinate all special events mailings.
- Track financial data for all special events.
- Maintain accurate data in myOSP database system, and pull reports and mailing lists as needed including tax receipts for event sponsors and donors.
- Order materials and supplies for events and coordinate vendor pick-ups and deliveries.
- Secure necessary permits and licensing for events.
- Assist with ticketing and seating process for events.
- Field customer service calls about upcoming events.
Qualifications:
- Minimum of one year of event planning, development or related experience. Two-three years preferred.
- Strong interpersonal and written and oral communication skills.
- Strong technical skills with proficiency in Microsoft Office and Google applications required.
- Highly organized, detail-oriented, skillful at establishing priorities, high degree of professionalism, discretion and self-motivation.
- Willingness and ability to work evenings and weekends as needed.
- Experience working with volunteers preferred Bachelor’s Degree or equivalent experience required.
- Must demonstrate understanding, respect and support for Catholic Church mission and values.
