• An ability to be friendly and deal patiently with those who come to visit the Ministry Center.

• An ability to conduct parish business in a professional yet pastoral manner.

• Organizational skills are very important.

• Working knowledge of computer programs such as Microsoft Office including Word, Excel and Publisher, and Google Cloud Platform is crucial. Adobe InDesign.

• Prior parish employment or a working knowledge or understanding of the Catholic Church is preferred.

• Bi-lingual in English and Polish preferred, but not required.

About St. Zachary Parish

St. Zachary Parish is a large Catholic multi-cultural faith community. The parish prides itself on its mission to be welcoming to all persons no matter their background. As the parish recovers from the pandemic, there is an urgency in strengthening and growing the parish community through our work and prayer. This position will work closely with the Pastor and with the Operations Director as the direct supervisor to this position.



• Cover the front office during office hours.

• Welcome all those who come to the Ministry Center in a professional and positive manner, remembering that we are the face of Christ to those who enter our church.

• Handle phone calls and phone messages in the same manner and direct callers to the appropriate staff members.

• Ordering of office supplies.

• Create and send ‘thank you’ letters and other notices.

• Stamp mail and manage returned mail.

• Assist parishioners and staff members with copying/printing materials.

• Create and design the parish bulletin for submission.

• Create and design weekly parish event emails using Constant Contact Liturgical.

• Prepare and distribute schedule for lectors and extraordinary ministers of Holy Communion.

• Receive and record Mass intentions.

• Prepare sacramental certificates as needed.

• Prepare monthly priest celebrant schedule.

• Scheduling of baptisms, marriages and funerals.


• Assist in money counting procedures.

• Manage parish database (Parish Data Systems) and recording of parishioner donations.

• Register new parishioners and ensure that parish database is updated.

• Follow up on online registrations.

• Manage GiveCentral in collaboration with the Operations Director.

• Generating thank you letters for contributions/correspondences and annual tax letters.

• Either with personal knowledge or the assistance of outside services, assist staff members in the use of parish office equipment.

• File invoices.

• Any other duties that may be assigned by Pastor or Operations Director.
