Description:

BASIC FUNCTIONS: Assist in all functions of the parish office. Duties will include fielding phone calls and directing them to the appropriate Parish Staff. Assist in administrative functions of typing, filing, faxing and coping. Handle multiple projects concurrently.

GENERAL DUTIES AND RESPONSIBILITIES:

1. *Answers phones and screens calls for the Pastor and for other members of the staff as needed, and when able, takes messages or transfers the call to the appropriate party.

2. *Greets visitors and announces them to the appropriate member of the Parish Staff.

3. Prepares correspondence and reports using various word processing, database and spreadsheet software on a personal computer. May draft correspondence for the Pastor’s signature as instructed.

4. *Record Sacraments and prepare sacramental certificates for Baptism, Marriage, etc.

5. *Performs basic office support including typing, photocopying, faxing, filing, and answering phones.

6. *Maintains Parish files in an orderly and timely fashion.

7. *Prepares parish bulletin weekly.

8. *Uses PC graphic software to prepare special notices and postings and prepares special mailings and other projects as needed.

9. Assists other members of the Parish Staff in completing their assignments when available or as needed.

10. Other duties as assigned consistent with position. *Denotes essential functions of this position, in conjunction with the Americans with Disabilities Act.

Requirements:

Education Required: High school graduate, GED or equivalent.

Education Preferred: Some college or formal secretarial training.

Experience Required: Minimum of 1 year experience or equivalent combination of formal education and related work experience.

Experience Preferred: Minimum of 3 years experience working in an office setting.

Skills Required: Basic knowledge of Microsoft Word, Access and Excel; filing and other general office skills. BI-LINGUAL – Spanish.

Skills Preferred: Advanced applications of the Microsoft Office Suite and bookkeeping.

Other Required: Team oriented, highly motivated with ability to take initiative, and possess problem-solving skills. Availability to work overtime as needed.
