The Director of Facilities is a hands-on leader, manager and mentor who is responsible for overseeing and directing the quality and workflow of the custodial team and the maintenance operation for all buildings and grounds on the OLPH campus, ensuring parish and school facilities are safe, clean, and fully operational.
This position reports to the Director of Finance and Operations and works collaboratively with other members of the Parish and School Leadership Teams, including, but not limited to, the Pastor, School Principal, and Director of Religious Education, as well as with representatives of various parish and school volunteer groups, thus maintaining a high standard of excellence in facility management.
Duties & Responsibilities:
• Supervise maintenance and custodial staff, providing leadership and fostering teamwork, accountability, and professionalism.
• Prepare first and second shift schedules and manage daily task assignments to ensure appropriate response time and effective completion of tasks.
• Hold regular team meetings, setting clear performance expectations and allowing time for training and mentoring.
• Evaluate the performance of assigned staff at least annually.
• Implement a proactive approach to facility management, ensuring issues are identified and resolved before they impact school or parish operations and activities.
• Communicate regularly with the Director of Finance and Operations and other school and parish leadership to provide updates on maintenance projects, safety issues and long-term facility planning.
• Serve as the primary liaison between the maintenance/custodial team and school administration, ensuring facility needs align with the school’s operational priorities.
• Assist in the development and implementation of policies, systems and controls related to facility use, maintenance and security.
• Work closely with security personnel to maintain a safe environment for students, staff, and visitors.
• Oversee schedule for assigning custodial staff to set-ups and take downs of meetings or special events in parish and school buildings.
• Conduct regular and routine inspections of parish and school buildings, including classrooms, restrooms, common areas, and outdoor spaces to ensure they meet high standards of cleanliness and safety.
• Prepare and follow on-going program of preventative maintenance for upkeep and repair of HVAC, plumbing, electrical, and other systems to minimize downtime and expense.
• Identify, supervise, and/or perform general repairs to plumbing, electrical, carpentry, windows, grounds, and general mechanicals.
• Clean and maintain all boilers, all other major equipment and on-site swimming pool.
• Oversee groundskeeping activities including landscaping, maintenance of sidewalks, parking lot areas and removal of trash and snow.
• Assist in the development of the annual maintenance budget and oversee it upon completion and approval.
• Maintain appropriate inventory of supplies and tools.
• Ensure all local, state, and federal regulations regarding building safety, sanitation, and environmental standards are met.
• Coordinate inspections from the Archdiocese of Chicago, State, ISBE, Village and County.
• Conduct regular safety audits and oversee repairs to ensure compliance with fire codes, ADA requirements, and other regulations.
• Work closely with administration to coordinate drills, security protocols, and emergency response plans.
• Recommend capital improvements and long-term facility upgrades based on school and parish needs.
• Oversee or function as the construction manager of building projects, managing relationships with vendors, contractors, architects, and engineers, as well as related budgets.
• Perform quality control inspections and analysis of work accomplished to ensure compliance with current standards, codes, and regulations.
• Establish and maintain a safe and effective work environment. Enforce safety rules. Inspect for unsafe acts/conditions and identify prompt corrective action to eliminate causes of accidents; follow up as required.
• Respond to emergency calls and/or delegate maintenance team member, or schedule external resources, as needed.
Requirements:
Qualifications & Skills:
• High School Graduate with trade school classes.
• Post High School coursework in trade-related field leading to certificate/licensure (i.e.: Stationary Engineer, Pool Operator, CPR, and/or 608 HVAC) or Associate’s Degree in technical field highly preferred.
• Proven leadership experience of 5-8 years in all phases of building maintenance and a good working knowledge of building systems, such as HVAC, refrigeration, plumbing, swimming pools, electrical, as well as construction.
• Strong team building and supervisory skills, with the ability to motivate and guide staff effectively.
• Knowledge of use and maintenance of power and hand tools used on the job.
• Knowledge of safety codes, compliance regulations, and emergency procedures.
• Ability to coordinate emergency building repairs.
• Ability to work in a team environment and manage various and differing requirements on a daily basis.
• Ability to collaborate with school administration and faculty to align facility management with educational goals.
• Excellent communication skills, with the ability to read and comprehend written instructions and communicate with others in English. Knowledge or Polish and/or Spanish, a plus.
• Familiarity with basic computer skills, WORD, EXCEL, email, payroll system, and Internet.
• Valid driver's license.
• Must be available on weekends or during evening hours when necessary.
• Ability to work outside in a variety of weather conditions, climb ladders and stairs as necessary, including accessing roof structures. Ability to lift and move heavy equipment.
