Description:

POSITION SUMMARY

The Church and School Bookkeeper supports and promotes the Operations Director initiatives and decisions regarding the mission and operation of the Parish. The Bookkeeper assists the Operations Director with the stewardship of the physical, financial, and personnel resources of the parish in accordance with Archdiocesan policies and best practices. The Bookkeeper is responsible for the daily financial bookkeeping functions of the church & school as well as assist the Operations Director in human resource administration. Directly supports the ministries of the Church and School of St. Mary.

DUTIES & RESPONSIBILITIES

• Processes weekly Accounts Payable & Accounts Receivable •

Manages School and Religious Education Tuition & Fee Accounts Receivable process

• Creates Monthly Accounts Receivable Aging Reports

• Creates journal entries for financial transactions including corporate credit card transactions

• Performs follow-up with families who are delinquent in tuition & fees

• Creates Weekly Accounts Payable Reports

• Communicates with vendors

• Creates Purchase Orders for the School

• Monitor and Administer the FACTS Financial Aid process and create reports

• Assists with the Sunday Offertory collection process

• Assist with Human Resource Functions

• Assist with the Payroll Process

• Support church and school groups with fundraisers and events

• Commitment and ability to meet critical business deadlines

• Adhere to Archdiocesan Internal Controls

• Adhere to Archdiocesan Best Practices

• Perform all other duties as assigned by the Operations Director or Pastor

Requirements:

REQUIREMENTS & EXPERIENCE

• Intermediate knowledge of accounting practices, personnel procedures and policies.

• Must possess strong writing, time and work managements skills, planning and organizational skills, follow routines and processes.

• Must possess desire for accuracy, attention to detail, accountability, transparency and follow-through on assignments.

• Must be a self-starter and take initiative while following internal controls and best practices of the Church of St. Mary and the Archdiocese of Chicago.

• Preferred familiarity with school tuition and fee management applications.

• A commitment to excellent interpersonal relationships, teamwork and support of church and school ministries.

• Required to perform with a high level of conformity to confidentiality and sensitivity to private information.

• Understand and support the mission of the parish and Archdiocese of Chicago.

• Bookkeeping: 3-5 years (Required)

• QuickBooks Online: 3-5 years (Required)

• Microsoft O365 Applications, Google Applications including Microsoft Excel and Sheets: 3-5 years (Required)

• FACTS Tuition & Fee Management Software or Similar Application: 3 years (Preferred)

• Payroll Software: 3 years (Preferred)

• Customer Resource Management Database Software: 1-3 years (Preferred)

• Church or School Bookkeeping Experience: 1-3 years (Preferred)
