Description:

The Parish Administrative Assistant reports to the Business Manager and acts as both Parish Secretary & office clerical support for the Parish Staff as needed. PARISH • Answer the telephone and door in a prompt and friendly manner, directing calls and visitors as needed. • Maintain Parish census database (PDS) including new Parishioner additions, Parishioner deletions, address changes, coding for School and RE families, etc., and supplying necessary reporting information to the Business Manager and the Diocese. • Prepare & send OSV report bi-monthly for envelope mailing / assist Business Manager with annual envelope mailing contract. • Maintain online mass book (Mass Intentions online); prepare mass cards as requested. • Schedule outside priests for masses and Reconciliation as requested. OFFICE & STAFF • Forward information as needed to the Bulletin Editor. • Maintain office machines & order supplies for the Parish Center as needed. • Maintain telephone system: with current messages for office hours & holidays, set up voicemails for new employees, arrange any system changes needed, and maintain staff phone directory. • Process and distribute mail. FACILITIES • Schedule all parish facilities for meetings and events as requested by school, RE and parish organizations in collaboration with Facilities Manager & Pastor • Maintain & monitor parish calendars and schedule of events, update parish calendar data for the website. • Track parish facilities calendar & communicate with Facilities Manager & maintenance regarding any set ups requested by groups using the Gathering Place, Activity Center & Gym as needed. • Monitor keys checked out by organizations using parish facilities. • Maintain, stock & order paper goods for the Gathering Place, Parish Center Large Conference Room kitchenette as needed. SACRAMENTS • Assist with scheduling all Baptisms, Weddings, Funerals and Anointing of the Sick for the Parish, ensuring appropriate documentation and information is provided to Parish Staff as well as those receiving the Sacrament. • Provide certificates and letters of good standing as needed for individuals who are becoming godparents or confirmation sponsors. Assist in providing updates to the planning booklets associated with the Sacrament. • Other duties as assigned.

Requirements:
