Position Summary:

The Coordinator, Case Management is an administrative professional who provides organizational and administrative support to the Vicars for Priests and Priest’s Nurse Practitioner in their multifaceted responsibilities, as well as managing details that contribute to the effectiveness and efficiency of their ministries in accordance with Archdiocesan policies and guidelines. Requires broad knowledge of department operations, policies, and procedures, and a high level of mature experience, discretion, confidentiality, and technical skills.

General Duties and Responsibilities:

  • General office duties related to answering the phone, responding to emails, providing hospitality to visitors, maintaining proper functioning of office equipment, managing monthly financial transactions, providing support to two Vicars for Priests and a Priest’s Nurse Practitioner
  • Develop a clear understanding of the activities of the Vicar for Priests Office and prepare correspondence and communicate with individuals, clergy, parishes, agencies, and external bodies • Prepares documents and tracks projects in Microsoft Project, Word, Excel.
  • Proficient in PowerPoint
  • Accepts and performs delegated responsibility in a positive manner
  • Ability to respond to people with compassion, helpfulness, and empathy
  • Ability to work under pressure and respond to emergencies in an efficient manner
  • Expertise and affinity for data base management: creation and maintenance of files, tracking clients’ progress, providing staff and professionals in other sectors with reliable information and data
  • Performing research tasks when necessary
  • Facilitates the organization of an annual national conference and other events
  • Supports Vicar for Priests in their oversight and accountability of annual budget and expenses. Handles departments special accounts. Reviews department monthly financial statements with the Vicar for Priests
  • Places orders, pays invoices, and reconciles corporate credit card

Other Duties to Provide Support to Priest’s Nurse Practitioner for the Well Being of Priests (medical and mental health)

  • Willingness to provide intake and support to the Priest’s Nurse Practitioner for the caring of Priests via walk-in, phone or electronic communication
  • Has compassionate skills and empathy to triage medical and mental health needs
  • Can “trouble-shoot” issues and work independently to support the Priest’s Nurse Practitioner with Priests medical and mental health concerns
  • Basic understanding of medical vocabulary and medical terminology
  • Able to communicate professionally and courteously to hospitals, doctor’s offices, physical therapy, home health and medical equipment companies
  • Able to maintain confidential health records and adheres to HIPAA
  • Able to send form letters along with health education materials to priests
  • Able to send out medical forms and communications to physician offices
  • Maintain data base of health information, capacity to track data, and run reports on quarterly basis • Keep a log on health forms that are needed
  • Orders and maintains supplies for flu clinics and maintains flu vaccine inventory annually
  • Attends priests’ conferences to assist Priest’s Nurse Practitioner by recording data in patients’ chart


  • Regular attention to continuing education in areas of responsibility
  • Maturity and good judgment as Vicar for Priests and Priest’s Nurse Practitioner representative



Education Required:

  • Bachelor’s degree, or equivalent experience

Preferred Degree:

  • Healthcare Sciences, Psychology, Communications, or Business

Experience Required:

  • Minimum of five years in a supprt role in corporate or nonprofit organizations.

Skills Required:

  • Must be familiar with the roles of priests and types of priests. Strong familiarity with the structure of the Archdiocese. Proficiency in the use of computers, particularly Microsoft Office Suite, Internet and email. Knowledge of administrative procedures including managing files, records, mailing list and databases. Project Management and publication design skills. Excellent verbal and written communication skills.

Other Required:

  • Highly organized self-starter with ability to work effectively and proactively without close supervision and able to prioritize with attention to details and deadlines.
  • Knowledge of Catholic faith, hierarchy and protocol.
  • Understands and supports mission and purpose of the Church. Knowledgeable of Archdiocesan policies and guidelines.
  • Ability to interact professionally with clergy and laity of the Archdiocese, the Catholic community and the public.
  • Pleasant demeanor and excellent judgment with sense of discretion and confidentiality. Hiring preference will be given to practicing Catholics.
