Front Office Reception/Office Manager

Description:

Full time Monday - Friday 8:30 am to 4:30 pm. Some weekends and evenings.

POSITION:

Reporting to the Director of Parish Finances and Facilities, the Front Office Reception/Office Manager has responsibility for:

1. Attending to the phone and front door in a welcoming manner: receiving visitors, taking messages, responding to inquiries and requests from either parishioners or staff, and researching the answer when necessary.

2. Managing the weekly collection process, including ensuring collection bags are available for all Masses, balancing the weekly deposits, hand-off to security company for transfer to the bank and entering financial information into the DPS system.

3. Managing the facilities schedule in the PDS system for use of the facilities by either parish related or outside groups adjusting the locations as necessary.

4. Scheduling the front office reception staff ensuring coverage for business hours including posting the schedule in the designated locations.

5. Knowledgeable of Parish and community resources

6. Works with the Business Manager to maintain the inventory and ordering of supplies for office staff members.

7. Provides administrative/secretarial support for the Pastor, regularly, and other staff on an as needed basis.

8. Manages the Parish Registry books ensuring that all sacramental information is entered correctly and in a timely fashion; and creating certificates as needed.

9. Has typing and filing skills and a working knowledge of all office equipment and systems and is able to use them efficiently.

10. Keeping the telephone message system up to date with Mass times and special activities

11. Other duties and projects as assigned.

QUALIFICATIONS:

1. Ability to relate effectively to diverse groups of people from all social and economic segments of the community.

2. Strong interpersonal and communication skills.

3. Proficient with computer skills (QuickBooks, Word, Excel, and other data bases).

Requirements:

• Committed to the Mission of the Catholic Church, Saint Gertrude Parish and the Archdiocese of Chicago. 

• Demonstrates understanding, respect and support for Catholic Church teaching, mission and values.

• Bachelor’s Degree from an accredited college or university, or equivalent work experience.

• Minimum two years of experience in office management.

• Ability to engage with others and communicate effectively in person and in writing.

• Detail oriented and able to work independently.

• Able to organize workflow and manage variety of tasks concurrently.

• Ability to effectively manage multiple projects concurrently.

• Working knowledge of Microsoft Office programs, including Word, Excel, Outlook.
