• Passionate about and committed to the Mission of the Catholic Church, Saint Mary's and Our Lady of Lourdes, and the Archdiocese of Chicago.
• Demonstrates understanding, respect and support for Catholic Church teaching, mission and values.
• Bachelor’s Degree from an accredited college or university, or equivalent work experience.
• Minimum three years of experience in office management.
• Ability to engage with others and communicate effectively in person and in writing.
• Detail oriented and able to work independently.
• Able to organize workflow and manage variety of tasks concurrently.
• Ability to effectively manage multiple projects concurrently.
• Working knowledge of Microsoft Office programs, including Word, Excel, Outlook.
•Proficiency in English and Spanish is required.
Requirements:
The Administrative Assistant is responsible for providing courteous and professional front office support to staff and parishioners, ensures all reception tasks are completed effectively, handles sacramental records and scheduling, ensures effective scheduling of meeting spaces, and supports facility logistics. This role also coordinates the schedules and activities of the part time staff supporting the Front Office,
Sample Responsibilities Include Front Office Support:
• Answers the phone, greets visitors, receives deliveries, handles the mail.
• Coordinates requests for masses or prayers. Handles inquiries about funerals, anointings, hospital visits, weddings, baptisms, first communion, or confirmation.
• Collaborates with the parish staff to see that office needs are met.
• Interface in a friendly, hospitable, and supportive fashion with parishioners, guests, visitors, and staff.
• Coordinate the scheduling of front office staff and ensure adequate coverage by all part time receptionists.
• Support the Pastor with scheduling of, or preparation for, meetings.
• All other responsibilities as assigned.
Sacramental Coordination:
• Assist with, or ensure, that all coordination needed for sacraments, e.g., weddings, baptisms, funerals, are handled effectively with a strong sense of welcome and hospitality. This may include coordinating with other staff to ensure all required activities and requirements are covered.
• Manage sacramental records.
• All other responsibilities as assigned.
