Description:

Duties/Projects include but are not limited to: • OFFICE: Perform office duties characteristic of a church office: answer telephones; act as receptionist; maintain sacrament registers; prepare sacrament certificates; register new parishioners; create/update templates, schedules, spreadsheets and forms as needed; compile data for annual reports as requested; maintain inventory of office supplies for rectory including stationery, printer and other supplies; oversee upkeep of office equipment. • MAINTAIN PARISH DATABASE of registered households using PDS. Ensure family profiles are complete and on file for all families; enter new families and provide welcome packets, stewardship materials. • BOOKKEEPING: Using PDS, post donations; create and mail letters of acknowledgements/ thanks for large donations and special donations (e.g. memorials). Create and mail end of year donation reports. • SACRAMENTS: Assist staff and families as needed prior to and following Baptisms, Funerals, and Weddings. Maintain supply of materials needed for planning these events. • STAFF MEETINGS: Notify staff of monthly staff meetings; attend meetings and take notes; distribute minutes with action items following each meeting to all staff members. • SCHEDULE LITURGICAL MINISTERS: In conjunction with ministry coordinators and using Ministry Scheduler Pro, prepare the quarterly schedule of liturgical ministers.

Requirements:

Education: College degree. Experience: Preferred applicant have a minimum of 4 years of experience preferably working in a parish church office. Position requires a motivated self-starter who is highly organized with excellent verbal and written communication skills, and outstanding people skills. The ability to be flexible while managing multiple tasks with deadlines, and maintaining a high level of accuracy and confidentiality is essential. Proficient with Microsoft Office 2010 (Word, Excel, Outlook and Publisher); experience in Parish Data Systems Church Office Management Program, Facility Scheduler (a Parish Data Systems Program), and Ministry Scheduler Pro (a scheduling program for liturgical ministers). Candidate must demonstrate understanding and support for Catholic Church teaching, mission and values. Hiring consideration may be given to candidates who are Catholic.
