Description:
The Director of Parish Operations is a professional business administrator who reports directly to the Pastor. They manage the physical, financial and personnel resources of the parish, in accordance with Archdiocesan policies and guidelines. Management Responsibilities include: Responsible for parish banking, including but not limited to: preparing bank deposits, maintaining signature cards, handling bank relations, the management of accounts and problem solving. Manages bookkeeping functions including, but not limited to, accounts payable and receivable for all other parish and school revenue and expenses. Oversees all church offertory collections, parish fund raising campaigns and events, and pledge drives. Recruits and supervises collection counter volunteers. Prepares for and monitors special collections. Directs purchasing procedures. Purchases non-office items for parish (e.g. maintenance supplies, rectory items, etc.). Prepares weekly financial summary of donations (“Stewardship”) for publication in parish bulletin. Processes parish credit card donations and automatic checking withdrawals (GiveCentral). Prepares budget, annual report, interim reports, general ledgers and other monthly reports. Ensures that all federal, state and local taxes are paid in accordance with federal, state and local regulations. Serves as staff liaison to Parish Finance Council and attends Council meetings. Communicates with the school principal and leaders of all parish business units as needed on financial and facility matters. Oversees the management of parish operational and financial records. Also, Manages major repairs, renovations and capital projects in accordance with Archdiocesan policies. Oversees information technology for church office and school (computer, telephone, etc.). Manages Archdiocesan Safety Protocols and Emergency Operations Plan. Manages custodial, maintenance, and security functions, including cleaning service. Acts as a resource and is staff liaison to Buildings and Grounds Committee. Acts as liaison to Archdiocesan administrative agencies. Liaison to local government agencies on facility matters (police, city works, etc.). Manages payment of salaries and benefits. Develops hiring and termination procedures, job descriptions, personnel evaluations, Open Enrollment and EEO Reports for administrative and support staff. Reviews and adjusts monthly Health, Dental and Life insurance invoices for participating Church and School employees. Responsible for initiating an annual performance review for church employees, support and maintenance staff and assists pastor with its implementation. Maintains current personnel files for each employee including attendance records, evaluations, use of benefits, and compliance with Child Protection policies. Implements and enforces personnel policies in accordance with Archdiocesan and parish policies. Oversees implementation of the guidelines and policies related to volunteers. (Protecting God’s Children). Performs special projects and duties as defined by the pastor. Attends meetings relative to the role as necessary, such as church office staff, deanery, vicariate and Archdiocesan meetings, and School Board. Implements Archdiocesan “Best Practices” to greatest extent possible. Interacts with school principal, DRE, and Music Director on administrative and financial matters, as necessary.
Requirements:
Degree in business or related field required. Five years’ experience in operations management; Proficiency in an office suite (word processing, spreadsheet, database), preferably Microsoft Office and with email and internet. Knowledge of Quick Books is necessary. Knowledge of Parish Data Systems Church Office Management/Ledger software. Understands and implements: Mission of the Church and parish; Parish policy and guidelines in relationship to Archdiocesan policy and guidelines; Principles of accounting; Safety and security issues; Personnel issues, including policies, procedures, selection, benefits, federal and state laws, employee motivation, team building, etc.
