The Donor Relations/Data Entry Representative is an integral member of the Stewardship and Development team, responsible for answering donor calls, responding to inquiries and providing excellent customer service. In addition, this position provides data entry and clerical assistance and support to the To Teach Who Christ Is campaign and Annual Appeal. Every action and donor interaction is a reflection of the archdiocese. For many individuals, this team member is the first connection to the archdiocese. Professionalism, good judgment and organization are essential qualities for this role.
 

Duties and Responsibilities

  • Provide excellent customer service-serve as primary contact for donor phone calls, by resolving and inquiries relating to accounts promptly and courteously.
 
  • Draft business correspondence and communicate professionally both verbally and in writing with donors and parishes. Assist with various projects, format and sendletters, create reports and proofread publications and documents asnecessary.
 
  • Document donor interactions, track actions taken and follow-up needed indatabase
 
  • Collaborate with other staff members to create and maintain a system-wide integrationof data.
 
  • Collect and prepare data for records and reports asneeded.
 
  • Report review, tracking and correcting of information for electronic giving site/database as it pertains to donor accounts
 
  • Create and distribute documents, including donation goal and over-goalreports.
 
  • Update and maintain a confidential database of individuals, corporations,foundations, vendors and mediacontacts.
 
  • Promptly enter credit card gifts, pledge reversals, pledge increases, billing cycle changes,start and end dates into thedatabase.
 
  • Manage and respond to emails from parishes and/or donors pertaining to theCampaign and the AnnualAppeal.
 
 
  • Create and distribute non-stock acknowledgement letters for both the campaign andthe AnnualAppeal.
 
  • Organize and file campaign documentsregularly.
 
  • Organize and mail all fulfillment materials to parishes asrequested.
 
  • Attend required meetings and participate asneeded.
 
  • Other Stewardship and Development projects asassigned
 
  • Maintain a thorough understanding of the mission, goals, and priorities ofthe Stewardship and Developmentoffice.


 
 

Requirements:

Job Specifications

 
Education Preferred:      Bachelor’s degree from an accredited institution of higher education.
 
Experience preferred:   
- Professional experience in a fundraising environment.
- Ability to communicate professionally via telephone and in writing.
 
Skills Required:              
- Fluency in Microsoft Office and database management.
- Strong planning and organizational skills.
- Excellent verbal and written communication skills
- Demonstrated customer service capabilities.
- Ability to handle multiple responsibilities at the same time.

Skills Preferred:             

Ability to read, write and speak fluently in Spanish or Polish.

- Strong work ethic, enthusiasm and confidence.
- Affinity with the overall mission of the Archdiocese of Chicago.
- Must demonstrate understanding, respect, and support for Catholic Church teaching, mission and values.
