Basic Functions

Responsible for schedules and maintenance of all the active and inactive records created by the various departments, closed schools, and closed parishes of the Archdiocese of Chicago.

Duties and Responsibilities

  1. Schedule and execute the transfer of records to and from Archdiocesan agencies, institutions, parishes and schools to the Records Center in accordance with Archdiocesan Records Policies. ?
  2. Assist in the timely and orderly disposition of records based on existing schedules. ?
  3. Catalog the appropriate metadata into the Electronic Records Management System for all records transferred to the Records Center. ?
  4. Process record requests and delivers appropriate records to the agencies of the Archdiocese of Chicago – either through email or inter-office delivery. ?
  5. Assist with the maintenance of various databases at the Archives & Records Center. ?
  6. Assist in the development and presentation of record management workshops and training sessions for employees of the Archdiocesan agencies, institutions, parishes and schools. ?
  7. Maintain the architectural drawing collection in the Records Center. ?
  8. Ensure records returned to the Archives & Records Center are re-filed correctly. ?


Requirements and Preferences

M.A. in History, Library Science, or Archival Administration

One year of experience in a professional archival and/or records management setting

Two years of experience in either of the above setting

Knowledge of archival techniques and records management principles. Excellent oral and written communication skills.

Knowledge of electronic records management systems, SQL, Crystal, familiarity with digital image scanning techniques and image capture.

Certified Archivist or Certified Records Manager

Ability to lift 40-pound boxes, climb ladders, maintain kneeling position. * Must drive panel van. Must demonstrate understanding, respect and support for Catholic Church teaching, mission and values.
