Position Summary:
Reporting to the Associate Superintendent of Schools, the Teacher Recruitment and Staff Coordinator provides support to the Office of Catholic Schools (OCS) administration and to school administrators in the hiring and placement processes for Archdiocesan teachers. This role is responsible for the administration and maintenance of all electronic documentation related to the teacher application process as well as the management of all teacher employment and performance data.  This role will serve as the contact for teacher candidates, will administer and maintain teacher applicant data in the applicant tracking system, and will manage all electronic documentation related to the annual performance reviews of teachers in the Archdiocesan elementary and secondary schools. This role also helps to implement the overall OCS strategy for teacher recruitment beyond the hiring process, through assisting in marketing, job fairs, and related activities.

Responsibilities:

  • Act as application and placement process coordinator for Archdiocese of Chicago teacher candidates. This will involve communication with both candidates and school administrators, including the Superintendent of Schools.
  • Establish, maintain and manage records for teacher placement and maintain documentation files for elementary school teachers and educators, and Archdiocesan/parish sponsored secondary schools.
  • Respond to requests from the Pastoral Center, principals and teachers regarding current teacher credential files.
  • Establish, maintain and manage Teacher Human Resources files and maintain a process for organizing and creating an electronic repository for annual performance reviews.
  • Utilize applicant tracking system and online application programs to create faculty rosters, verify and validate school rosters annually, and create data reports as needed.
  • Advertise for school vacancies throughout the Archdiocese, with other Archdioceses, and via applicable job boards. Assist principals and hiring authorities in teacher searches by managing principal and applicant requests and inquiries regarding vacancies.
  • Assist with and respond to requests for materials and information from the OCS staff that includes the analysis of annual and historical data relevant to hiring, and placement and retention of teachers in the Archdiocesan schools
  • Communicate with potential candidates, principals and teachers regarding teacher hiring, placement and evaluation processes.  Maintain forms and worksheets on the OCS Portal and the Archdiocese website.
  • Serve as liaison to the Archdiocese of Chicago Archives and Records Center for teacher and administrator files
  • Works with the Associate Superintendent and Director of Communications for Catholic Schools in developing materials for the recruitment of prospective teachers.
  • Assists in developing relationships with universities, teacher placement organizations, and related firms for the purposes of Catholic school teacher recruitment.
  • Attends teacher recruiting events, as appropriate or requested by the Associate Superintendent.
  • Other responsibilities as assigned.

 

Requirements:

  • Minimum three years of administrative experience in a fast-paced environment (experience in a school, district office, or other educational setting preferred).
  • Proven ability to work in a matrix environment serving multiple stakeholders.
  • Excellent customer service, data management, interpersonal, written and verbal communication, and customer service skills.
  • Highly organized with the ability to manage multiple projects simultaneously
  • Demonstrated excellent experience using Microsoft Suite skills, including Word, Power Point, and Excel.
  • Ability to learn and effectively navigate applicant tracking system, teacher performance evaluation system and other database systems to successfully analyze teacher and principal performance, and assist in the annual renewal and replacement of staff.
  • Ability to effectively provide direction to administrative staff in the maintenance and analysis of teacher data.
  • Ability to work independently and as a member of a team
