Description:

Position Summary:

The Operations Director (OD) provides strategic and operational support to the Pastor (and School Principal, as applicable) to ensure the stewardship of the human, financial, and physical resources of the Parish, in accordance with Archdiocesan policies and guidelines.

The OD will have primary responsibility for finance, operations, facilities, human resources, and project management with direct leadership of finance, administration and maintenance. Within the context of Renew My Church, the Operations Director will be responsible for working with the Pastor and the Renew My Church Operations Transition Team to unify operations of two or more parishes with emphasis on finance, facilities and human resources.

Responsibilities:

A. FINANCIAL MANAGEMENT

• Responsible for development and implementation of Parish budgets, preparation of annual reports, as well as evaluation and communication of monthly financial reports, including bank reconciliation. Develops monthly variance reports and forecasts. Responsible for ensuring payment of all taxes and fees to government entities.

• Ensures the use of Archdiocesan Best Practices in all activities; responsible for the establishment, maintenance, and testing of internal controls.

• Manages Parish relationships with financial institutions, Purchasing, leasing and rentals, contract negotiations, and vendor relationships, Financial Stewardship activities, including capital campaigns, all fundraising activities, as well as Parish offertory collections.

• Serves as a member of the School Financial Aid Committee.

B. FACILITIES MANAGEMENT

• Responsible for all operations, maintenance, security, repairs and capital projects of Parish facilities, as well as leasing rental and use of those facilities.

• Acts as liaison to Archdiocesan agencies, and as a resource for Building Committee.

C. HUMAN RESOURCES MANAGEMENT

• Using Archdiocesan Human Resources policies, responsible for the recruitment, management, and training of employees including; All aspects of employee performance management including current job descriptions, annual performance reviews, salaries, payroll, benefits management, and performance related employee issues; and Direct management of administrative, operations and maintenance staff.

• Oversees implementation of the guidelines and policies related to volunteers, particularly related to the Office for Protection of Children and Youth.

D. COMMUNICATION/INFORMATION

• Responsible for all Parish’s communications activities, including bulletin, website, social media, broadcast email communications and direct mail.

• Responsible for maintenance of current Parish census and database; as well as Parish operational, financial and sacramental records.

• Overall responsibility for all Information Technology including, but not limited to, computers (hardware and software), internet/telephone, copiers, etc.

E. PROJECT/TEAM MANAGEMENT

• Through word and example, fosters a positive working environment and culture, based upon Catholic teachings, particularly the dignity of each Human Person.

• Develops and implements appropriate project planning, tracking, and oversight processes.

• Organizes and facilitates necessary meetings to enable ongoing work to be properly assessed; new projects and assignments communicated; and necessary information exchange to be facilitated.

• Based upon information from Archdiocesan and other sources, encourages the implementation of best practices across the Parish’s activities.

F. LIAISON

• Serves as key liaison with Finance Committee, Archdiocesan administrative agencies, and local government agencies.

Requirements:

  • Undergraduate Degree in Business, Accounting, Finance, or related discipline, or equivalent professional experience.
  • Three years’ experience in Accounting, Finance, or related business practices. Experience with a not-for-profit organization or in Church management is a plus.
  • Demonstrate understanding, respect and support of the Catholic Church teaching, mission and values.
  • Demonstrable leadership, interpersonal, communication and organizational skills; initiative and a strong desire to achieve results.
  • Experience in change management and merger integration is a strong plus.
  • Experience and competence in: 1) Standard management software tools—Microsoft Office Suite, QuickBooks; 2) Human Resources activities; 3) working in a team leadership environment; and 4) continuous improvement processes
  • Can be entrusted with highly confidential information
  • Possess a valid Illinois Driver’s License and can travel to other Archdiocesan locations throughout Cook and Lake Counties via personal transportation.
  • Proficiency in spoken and written English.
