Description:

The Office Manager for the Shrine of Our Lady of Guadalupe is called to be a Catholic Stewardship Leader for the community at the Shrine. He/She serves in a managerial capacity that strives to provide pilgrims and staff members administrative support in order to fulfill the mission of the Church, which is to bring all people to the knowledge and love of Christ through the advocation and history of Our Lady of Guadalupe.

Directly accountable to the Rector and serves the mission of the Shrine by organizing and coordinating administrative duties and office procedures.

Create and maintain a faith based environment, ensuring high levels of organizational effectiveness, communication and safety. A successful Office Manager must have experience with a variety of office software (email tools, spreadsheets and databases, etc.).

Managers must have strong team building skills as well as a strong sense of accountability and responsibility for the mission entrusted to their care.

Managers are called to be teachers of the faith and service to subordinates and volunteers in order that all may feel that they are important to the mission of the Shrine.

Responsibilities may include, but are not limited to:

  • Serve as the point person for office manager duties.
  • Schedule meetings and appointments for the Rector.
  • Supervise, guide, evaluate and when approved, hire subordinate staff for the department.
  • Maintain the office condition and arrange necessary repairs.
  • Partner with HR to update and maintain office policies as necessary.
  • Organize office operations and procedures.
  • Coordinate with IT department on all office equipment.
  • Manage office G&A budget, ensure accurate and timely reporting.
  • Provide general administrative support to visitors, pilgrims and volunteers.
  • Oversight and updating communications platforms e.g. Facebook, Shrine Website, Shrine information boards, etc.
  • Collect and organize database information for Development and Sacramental Records.

Requirements:

Requirements:

  • Practicing Roman Catholic that understands and lives Servant Leadership principles.
  • Fluent in Spanish and English- written and verbal communication.
  • Three to five years experience as Office Manager or Administrative Assistant (with letter of recommendations).
  • Knowledge of office administrator responsibilities, systems and procedures.
  • Proficiency in MS Office programs, Google systems tools, knowledge in the use of social media platforms, and basic understanding of website management.
  • Hands on experience with office machines (e.g. fax machines and printers).
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Must be available to work on Sundays.
  • Attention to detail and problem-solving skills.
  • Strong competency in conflict management skills.
  • Strong organizational and planning skills.

Education:

  • Must have an Associates or Bachelor degree. Certificate programs in Office Management will be considered for qualifying candidates.

Salary:

  • This is a Full-Time Salaried Managerial position. Salary is subject to education, experience and references.

The Shrine offers a fringe benefits package as stipulated by the Archdiocese of Chicago for all full-time employees. Employees of the Shrine of Our Lady of Guadalupe are considered employed by the Catholic Bishop of Chicago as Corporation Sole.
