JOB DESCRIPTION: The Director of Operations (DO) serves as professional administrator and strategic leader at Our Lady of Ransom. In this critical role, the DO will work closely with the Pastor to manage the parish in the areas of finances, vendor relations, information technology, human resources, and facilities.

SPECIFIC RESPONSIBILITIES:

  • Financial Management: 
  • Develop and manage the annual operating budget.
  • Maintain the consolidated general ledger of the parish leveraging the full functionality available within QuickBooks.
  • Prepare quarterly and annual financial reports.
  • Manage all accounting related functions, including but not limited to, payables, receivables, and bank account reconciliations.
  • Establish procedures for the collection, counting, and recording of Sunday and Holy Day collections consistent with the best practices of the Archdiocese of Chicago.
  • Issue checks for all accounts payable, reviewing all invoices prior to payment for reasonableness and accuracy and indicating approval for payment.
  • Serves as parish representative to the banks, reconciles accounts, and identifies and resolves any discrepancies.
  • Acts as the staff liaison to the parish Finance Council.
  • Confirm that all federal, state and local tax filings are prepared and paid in accordance with federal, state, and local regulations.
  • Acts as liaison between pastor and the Archdiocese of Chicago operations staff.
  • Acts as liaison to the treasurers of each parish ministry.

Human Resources Management:

  • Complete payroll preparation ensuring that all federal, state, and local taxes are paid in accordance with applicable regulations.
  • Liaison between pastor and the Archdiocese of Chicago human Resources staff.
  • Implements Archdiocesan Human Resources policies including, but not limited to, managing Open Enrollment while educating staff about available benefits.
  • Serves as the site administrator for all diocesan safe environment policies.

Communications/IT:

  • Oversees the maintenance of the Parish census and database.
  • Oversees maintenance of IT infrastructure.
  • Serves as primary point of contact for information technology contractors (St. Benedicts Consortium).
  • Oversees the management of operational and financial records.

Building Management:

  • Supervises all maintenance staff.
  • Manages all parish vendors including vetting contractors, obtaining bids, and overseeing project completion.
  • In conjunction with parish facilities committee, conduct ongoing inspections of the parish grounds, buildings and equipment to ensure that the property, buildings and equipment are maintained in a safe and hospitable manner.
  • Oversee purchasing of equipment and supplies, ensuring quality is consistent with cost and services.
  • Assist in the preparation of the annual maintenance and repairs budget.
  • Ensure that major repairs, renovations and capital projects are completed in accordance with Archdiocesan policies.
  • Acts as liaison between pastor and the Archdiocese Office of Facilities and Construction.

Requirements:

Traits of a strong candidate:

  • A practicing Catholic committed to following Jesus and faithful in the Magisterium of the Church in both word and deed.
  • Undergraduate Degree in business, accounting, finance, or related discipline, or equivalent professional experience.
  • Three years' experience in accounting, finance, or related business practices. Experience with a not-for-profit organization or in Church management is a plus.
  • Knowledge of safety and security practices.
  • Experience in human resources practices, including leadership, interviewing and selection, policy application, and employment practices laws.
  • Strong proficiency in QuickBooks and Microsoft Office, especially Excel.
  • Strong verbal and written communications, interpersonal, multi-tasking, and organizational skills.
  • Able to identify opportunities for improvement, evaluate issues and situations, and propose and implement recommendations/solutions.
  • Can be entrusted with confidential information.
