Description:

The Parish Operations Manager (POM) directs all non-ministerial functions of Immaculate Conception Parish under the direction and supervision of the Pastor. All non-ministry staff are direct reports to the POM: Parish Receptionists, Bulletin designer, Parish Accountant and Maintenance Team. All outsourced staff report to the POM; which include but is not limited to Landscaping, HVAC and IT. The POM assists the ministerial staff in the operation and function of their ministry in coordination with the Pastor: This include: Music Ministry, Coordinator of Religious Education, Part-time Pastoral Associates. The POM is a member of the Parish Council and Finance Council. Job Detail, the following is a not exclusive summary of the operational detail of the POM. Under the direction of the Pastor and in alignment with the parish 3 year plan: direct, and coordinate the financial, facilities management and basic human resources operations of the parish. Direct and coordinate financial and budget activities to fund operations and increase efficiency. Design and implement internal controls, policies and procedures and forms and train staff and others on the policies and procedures and the proper completion of forms. Work with the Pastor, Parochial Vicar, Deacon, Finance Council, Parish Council, Knights of Columbus and IC Women's Guild and IC Men's Club in providing organizational needs. Responsible for all aspects of facilities rental: scheduling, billing and insurance records. Oversee and assist in the timely preparation of budgets, annual reports, interim reports, general ledger and monthly reports with the parish accountant. Coordinate with the Pastor and the Music Director (with Marriages and Funerals) on the Sacraments of Baptism, Funerals and Weddings. Work with the funeral homes, parishioners and scheduling of funerals. Coordinate with the parish Deacon on the Classes and training for Baptism, Eucharistic Ministers and Lectors. Some training involved with Lectors and Eucharistic Ministers and the Homebound Ministry. Supervises the weekly offertory team in the processing and deposit of the Weekly Offertory, all special collections and all monies received. Ensure that contracts with vendors are negotiated to obtain the best value for service. Recordkeeping and processing of new hires into payroll, health insurance and other benefits. Work with the Human Resources Department in the Diocese to ensure that appropriate documentation is maintained,e.g. all Staff Job Descriptions and written reviews. Oversee office policies and supervises the Parish Receptionist(s) Maintenance Team and the Parish Accountant and Bulletin Editor. Final Review of the weekly Bulletin. Ensure compliance with Diocesan policies and procedures regarding background checks and driver's license checks of staff and volunteers. Plan and coordinate for special parish events. Maintain an open communication, both inside and outside the parish family. Other tasks, responsibilities, and duties as may be assigned. Qualifications: College degree, preferably in business management Minimum of five years active management experience Practicing Catholic required Be supportive of the mission of the Roman Catholic Church
