Founded in 1997 by Catholic Scholars at the University of Chicago, The Lumen Christi Institute brings together thoughtful Catholics and others interested in the Catholic tradition and makes available to them the wisdom of the Catholic spiritual, intellectual, and cultural traditions. Now in its twenty-first year of operation, the Lumen Christi Institute continues to work toward leavening American higher education with future leaders better educated and formed in Catholic faith and thought. The Office Manager must reflect the mission and values of the Lumen Christi Institute and adhere to the institute’s policies, guidelines, and procedures. The Office Manager serves as an integral part of the Lumen Christi Institute’s success through activities involving the coordination of staff schedules, meetings and correspondence and overall office, building and property management. The Office Manager is a support staff position responsible for overseeing the general operating activities that lead to a well functioning office. Responsibilities include: Supports the Executive Director in organizing travel and appointments with high-level prospects and donors. Assists with his correspondence and receiving visitors. Manages general operating activities of the office including, but not limited to, supply ordering, office maintenance, scheduling staff meetings, utility and equipment oversight and bill reconciliation. Hires, trains and supervises student workers to assist in office functions such as appeal mailings, etc. Assists in various HR functions such as: hiring, maintaining employee files, creating/maintaining position descriptions, monitoring attendance, facilitating payroll, developing policies and procedures. Reviews and codes all bills/invoices before sending to Business Manager for payment. Coordinates expense coding and receipt collection on all Institute credit card accounts. Manages property maintenance including soliciting bids and overseeing work on landscaping, building repairs, upkeep and renovations and furniture acquisition. Oversees data and gift entry in Institute database, including adding new constituent information and updating information from returned mail. Assists when needed in the planning and execution of campus and downtown events. Coordinates and schedules all board meetings and board committee meetings, records minutes, maintains board records.

Requirements:

Required: Bachelor’s Degree; 3-5 years office management experience; Excellent time management skills and ability to multi-task and prioritize work. Excellent written and verbal communication skills. Strong organizational and planning skills. Adept at using MS Office Preferred: Experience working with a religiously based organization or in higher education; Experience in a small non-profit organization or office; Experience working with databases, specifically Raiser’s Edge and Project Management software.
