Job description

The Assistant for Resources and Ministry Support role is crucial within the Kolbe House. The Kolbe house works with and provides resources to those who have been effected by incarceration. It is a small and dynamic organization with a caring and capable staff. With many volunteers, we work to support the community in a meaningful way. We are passionate in spirit and driven to make a difference. We have ministries inside Cook and Lake county jail, and we assist people and families with community re-entry. We work to break down the stigma revolving around incarcerated peoples and spread the love of God.

Basic Functions
Resource Management: Maintains all inventories of resources for ministries and office administration.
Ministry Support: Maintains records and assists with administration for reentry ministry, personal development ministry, and Blessed & Broken newsletter.
Donor Records & Relationships: Records donations received at Kolbe House. Maintains all donation and donor-related data in Salesforce.

General Duties and Responsibilities
Resource Management
For all inventories maintained at Kolbe House including, but not limited to food pantry, clothing closets, bus passes, gift cards for meal and groceries, devotional materials in-jail ministry, office stationery & supplies,
Kolbe House promotional literature, greeting cards, postage stamps.
1. Assesses and organizes inventories weekly.
2. Places orders proactively to maintain levels needed. Maintains records of orders.
3. Maintains relationships with suppliers and collaborating organizations which contribute to inventories.
4. Contributes to solving problems to address needs identified by staff and volunteers.
5. Supervises volunteers in preparation of materials going into Cook County Jail, such as destapling.
6. Assists staff and volunteers as requested with matters related to inventories.
7. Transfer Sunday Mass videos to the jail(s) each week.

Personal Development Ministry Support
1. Maintains and updates all administrative records for personal development, including but not limited to course catalog; program tracker which documents course offerings with course instructors, times, and places; and materials for courses.
2. Blessed & Broken newsletter -- maintains mailing list, receives all incoming mail and distributes to Kolbe
House personnel as needed, sends submissions to Blessed & Broken editor, assists with preparing and mailing issues.

Reentry Ministry Support
Assists Reentry Ministry Leader with administrative tasks including, but not limited to, scheduling and communicating with volunteers, attending and assisting with reentry team meetings such as huddle and training sessions, and scheduling appointments for Reentry Ministry Leader.

Donor Records and Relationships
1. Records all donations received in the mail on spreadsheet. Forwards checks and spreadsheet to Office
Manager for Accounting and Donor Records. Provides copy of spreadsheet to Executive Director.
2. Accomplishes the workflow established for recording donations from any source in Salesforce.
3. Accomplishes the workflow established for thanking donors for donations from any source.

Door Reception - Hospitality & Mail

1. Answers door and phones, greeting and hosting all visitors with the welcome, respect, and empathy that characterize Kolbe House as a center of hospitality.
2. Receives and distributes mail.

Special Projects
Assists Executive Director with special projects as requested.


Requirements and Preferences:
Education Required: High school diploma or GED
Education Preferred: training in Microsoft Office applications such as Excel and Word
Training in Google G Suite applications
Some college coursework
COVID Requirements: For the safety of our community, we do require all in house employees to be fully vaccinated against COVID-19.

Experience Required: 1 year minimum work in office setting.
Experience Preferred: work experience in office administration work experience in social service or Catholic or church setting.
Experience with Salesforce

Skills Required: Skilled in current agency software including Microsoft Excel, Google calendar
Keyboarding proficiency
Talent for organization of both materials and information
Flexible, patient, and self-starting
Able to prioritize a broad variety of tasks, adapting readily to changes as circumstances or supervisor requires.
Excellent listening and communication skills
Ability and desire to work with diverse populations, particularly people affected by incarceration and criminal justice issues
Filing and other general office skills

Skills Preferred: Bilingual English/Spanish -- verbal Spanish fluency reading and writing Spanish fluency.

Other Considerations: Willing and able to accommodate flexibility of schedule.
