Description:

Position Summary: 

Collaborates with Events Team, key professionals as well as Archdiocesan staff to assist in coordinating and executing events / calendared projects.

Responsible for the development, coordination and successful completion of system events, including (but not limited to) professional gatherings and retreats, award ceremonies, fund-raisers, technology conferences, and other events furthering systemic growth of the Archdiocese.

The primary responsibility is to coordinate all aspects of meetings, events and trips including planning, implementation, financial reconciliation and post-event follow-up.

 

Responsibilities:

  • Gives input to and coordinates office calendar to reflect the priority of providing resources to the events*
  • Work with the other members of the Events Team to coordinate successful events and projects
  • Collaborate with other staff on Archdiocesan events that range from small spiritual and formation sessions to large, thousand person events..*
  • Executes responsibilities as assigned by Senior Event Coordinator
  • Implements Events Team’s principles of service and best practices into work
  • Communicates clearly with other team members and Archdiocesan Staff regarding progress, updates and event information
  • Administrative duties as assigned
  • Determine event logistics with thorough planning; including but not limited to housing, venue management, registration, data management, hospitality and any other requirements associated with event
  • Develops and builds relationships with venues, product suppliers and vendors
  • Coordinates and implements registration websites and processes for events
  • Coordinates detailed event budgets with Senior Event Coordinator
  • Manages payment process for events and tracking of deposits in detail
  • Reserving meeting rooms/venues, potentially scheduling and attending planning meetings
  • Research locations based on number of attendees, objectives and budgets, inputting up to date information into team database of venues
  • Ensure attendee satisfaction at events
  • Develop and execute strategies that look for efficiencies, maximize opportunities and deliver exceptional care in attendee engagement
  • Serves on other committees and task forces as assigned.
  • Pursues opportunities for spiritual and professional growth.

Requirements:

  • Bachelor’s degree in liberal arts field or related.
  • Minimum 2 years’ experience in customer service and administrative duties; experience in coordinating successful events.
  • Strong customer service skills and attention to detail, teamwork, flexibility, organizational skills, time management, ability to handle complex projects, collegiality, fairness, ability to engage other AoC Departments and outside vendors.
  • Self-motivated, detail-oriented, collaborative, persistent, fair and balanced, dependable, sensitive to racially and ethnically diverse community; ability to deal with multiple projects, openness to the needs of the system, flexible, integrity, sound judgment.
  • Carry materials and climb stairs; available to work evening and weekend meetings when necessary.
  • Must demonstrate understanding, respect and support for Catholic Church teaching, mission and values; appreciate role of schools as ministry of the Archdiocese.
