Position Summary:

The Administrative Coordinator will provide general administrative support to the Director, assisting with the timely and accurate vetting and processing of all visiting religious order and diocesan extern priests.


  • Send applications to religious and extern diocesan priests who are interested in obtaining faculties in the Archdiocese of Chicago and review the applications upon receipt for accurate completion and adherence to United States Conference of Catholic Bishops (USCCB) protocols for priests in public ministry.
  • Maintain data related to the applications and all related documentation required and track their receipt.   Maintain records for extern and international priests in the HP TRIM records management system.
  • Provide support to and communicate with visiting priests who are in process for faculties.
  • Draft and manage all communication, including applications, letters, emails, and phone calls, and coordinate meetings and appointments.
  • Initiate interviews, background checks and immigration legal assistance if appropriate.
  • Communicate completion of receipt of required documents to Director with recommendation to move process forward.
  • Collaborate with and assist other offices as needed, including the Priests’ Personnel Office, the Office for Religious, the Office of Legal Services and the Office for the Protection of Children and Youth, providing services and/or information.
  • All other responsibilities as assigned.


  • Familiarity with the Catholic Church and passion to work therein
  • Strong oral and written communication proficiency in English and Business Spanish, proficiency in Polish a plus
  • High level of discretion when handling confidential information/material
  • Ability to take initiative  
  • Ability to prioritize, multi-task, and meet deadlines
  • Proficiency with database management software and Microsoft Office
  • Strong organization and attention to detail skills
  • Ability to work well with individuals at all levels; openness to other cultures.
