Position Summary:

The Secretary to the Archbishop’s Office will serve as one of the day-to-day faces of the department. Functions include: processing emails, taking phone messages, sorting and processing mail, and transcribing dictations from the Archbishop. The ideal candidate must have a proactive mind-set in daily operations and the ability to work as a team-member in the Archbishop’s Office.


The operations for this position include but are not limited to:

  • Processing mail and forwarding to all appropriate personnel.
  • Receiving, transcribing and filing dictations from the Archbishop.
  • Prepare and format correspondences for the Archbishop’s signature.
  • Coordinating the email addresses related to the Archbishop.
  • Act as a “manager of first impressions” with taking and responding to phone calls from all necessary parties.
  • Contribute and work collaboratively as a member of the Archbishops office.
  • Participating as an internal team member of the Archbishops office toward Pastoral Center Employees.
  • Active participation in monthly staff meeting.
  • Handle administrative requests and queries from senior managers.
  • Other responsibilities as assigned.


  • Understanding of the Catholic Faith, Culture and Hierarchy.
  • Excellent grasp of the English language and its grammar.
  • Proficient in Microsoft Products.
  • Ability to contain absolute confidentiality to all matters.
  • Self-motivated and demonstrates an ability to work independently.
  • Ability to work in collaboration as a team member of the Office of the Archbishop.
  • At least five years of administrative experience.
  • Associate Degree or higher.
